How do I create a sharecode and groupcode?

The creation and deletion of share codes and group codes are something that is created in the back end of the tool by our Cool Farm team.

For us to be able to create a share code we need the following information:

  • Code name(s) which includes your company name. Example code: company_country_crop (code can't contain spaces)
  • Username or email address of the accounts you wish to have admin access to the shared data (please note that they must have an active CFT account)
  • Confirm if you want farm names to be visible in the aggregation report or anonymous

One thing to note is that aggregation reports cannot be created for more than 300 assessments. If you plan to have more assessments than that shared using your share code you will need to create folders (e.g per year, product, or region). Folders are something that sharecode admins create and is not something we can do from our side.

To create a folder:

  • Go to your 'Aggregation tab'  and select 'New folder'

Unlike share codes we will create a group code name for you. All group codes come with the following features activated:

  • Unlimited assessments
  • Assessment export (as Excel or JSON file)

Please let us know if you would like us to activate any of the functions below on your group code:

  • Code name this needs to include your company name and not contain any space, as there is only one group code per member it could be something as simple as your company name.
  • Multiple farms: to allow setting up more than one farm within one CFT account
  • Supplier section: if you'd like to upload any branded materials such as help guides, accessible by all of your Group code users via 'My Projects' tab within the tool
  • Custom fertiliser production

If you wish for us to create either a share code or group code please read the above information and email support@coolfarmtool.org with a relevant subject such as 'Request to create share code' along with the information our team needs to create the codes for you.
